Start with the summary you would otherwise write

For a massage therapist who already works from a few reminders after each appointment, the value of a note tool is not a new way to assess or treat a client. It is less time turning the session into written sentences.

You can dictate a short account after the appointment. That gives the app the points you have chosen for the record, without putting a recording device into the hands-on session. Speech-to-text captures your words; note drafting then arranges them into the format you use.

This is particularly relevant when you are comfortable with the clinical note itself but dislike the repeated typing between clients or at the end of the day.

What a dictated summary can become

Consider this fictional summary, spoken in the order the therapist remembers it: "Next visit not booked yet. Upper-back work today. Client said it felt tight after extra desk work this week. Asked for lighter pressure partway through, so I reduced it. Client said the lighter pressure was comfortable. We discussed keeping the next appointment focused on the same area if they book."

An illustrative narrative note could read: "Client reported upper-back tightness following additional desk work this week. Treatment focused on the upper back. Pressure was reduced at the client's request, and the client reported the adjusted pressure was comfortable. Discussed a similar focus for a future appointment; no follow-up is booked."

The draft brings the reason for the visit to the beginning, groups the treatment and client response, and puts the future discussion at the end. You begin with that organized account instead of typing the same session from scratch.

Keep SOAP or narrative, depending on your existing record

Astralcyte offers SOAP and narrative formats. If your practice already expects SOAP, choose that structure for the draft. If you keep a concise narrative record, you can use that instead. The point is to reduce writing in the format you actually need, rather than create another document to reformat.

You can edit the draft on your device and keep the approved note in the encrypted vault. If you use another record system, explicitly copy the text into it. The input can be your spoken summary or a recorded appointment when that better suits your practice.

Get assistance without sending client details away

A client's comments during treatment can include personal details that never need to appear in the note. A spoken summary lets you choose what to include, and offline drafting keeps that summary out of the software company's hands.

Astralcyte performs both transcription and drafting on your device. Its privacy policy explains that the recording, transcript, and note are not sent to the company. You can get help finishing the documentation while keeping the client conversation private.
