A shared chart does not require a shared scribe archive
An online scribe can combine note drafting with a hosted collection of recordings, transcripts, or drafts. Your EHR may already provide the shared access clinicians need to filed notes. Those are different collections of information.
When comparing local drafting, identify which shared features staff actually use. The EHR can remain the practice record while the fuller conversations used for drafting stay on individual devices.
Two arrangements with the same final chart
| Question | Online scribe plus shared EHR | Astralcyte plus the same EHR |
|---|---|---|
| Where is the conversation used for drafting? | The scribe or its processors receive the audio or text used. | On the clinician's device. |
| Where is the first draft? | In the online scribe's system under its access and storage terms. | In the encrypted local app. |
| Where does the team find filed notes? | In the shared EHR once filed. | In the same EHR after the clinician copies the note there. |
| What does the scribe company have? | The clinical content it received, for whatever period its terms specify. | No recording, transcript, or draft through the app. |
The disappearing copy is the one held by the scribe company. The shared patient record does not have to disappear with it. This table compares designs rather than claims every online product has identical storage or access terms.
Compare the real filing step
Astralcyte offers familiar formats including SOAP, DAP, BIRP, and narrative. Clinicians edit drafts on their devices and copy notes into the EHR. It has no shared staff dashboard or automatic EHR filing.
If your existing service files notes automatically, include the copying step in the decision. If staff mainly use the EHR for shared access anyway, a second hosted archive may be providing less value than the drafting itself.
The privacy policy explains that Astralcyte never receives the conversations through the app. Encrypted storage protects the local drafts. You can keep the useful writing assistance and the chart staff already use while removing a company-held copy of the appointments.
